This is the documentation for the Atlassian Confluence Add-on Hangouts Chat for Confluence.

Installation

The recommended way to start using Hangouts Chat for Confluence is by using the @Confluence bot from within Hangouts Chat itself and follow its instructions. Just start typing @Confluence within a room in Hangouts Chat and choose the bot from the opened autocompletion menu. Make sure to always select the bot from the menu, just typing @Confluence won’t get its attention.

You’ll be asked by Hangouts Chat if you want to add the bot to your room:

After having added the bot, it will give you instructions on how to proceed, installing the Hangouts Chat for Confluence addon and which commands it can understand.

The procedure can be repeated with any other rooms (the addon only has to be installed once). You can also open a direct conversation with the bot to configure notifications to be sent to you directly with the “Message a bot” function in the top-left menu:

As an alternative, you may also install the “Hangouts Chat for Confluence” addon immediately. In the administration menu on the left side, navigate to “Find new add-ons” under the “Atlassian Marketplace” category. Search for “Hangouts Chat for Confluence”, wait until the entry “Hangouts Chat for Confluence” is shown and proceed to “Install” the add-on. Afterwards, you can start using the addon by connecting rooms to your Confluence instance using the @Confluence bot within Hangouts Chat as described above.

General configuration

You can setup Global notifications by providing Hangouts Chat rooms and user-names under “Global notifications”. Note that all updates throughout the entire Confluence installation will be propagated with notifications to those channels and users, so it might not be reasonable to use this with big Confluence installations.

Space configuration

To access the Space configuration of Hangouts Chat for Confluence, click on the “Spaces” dropdown next to the Confluence logo in the upper-right-hand corner and select “Space directory”.

Here, click on the circled (i) button to access the Space details page of the Space you want to setup notifications for.

For newer versions of Confluence, you now need to select the “Add-ons” tab on the top of the page. In older versions of Confluence, this tab is called “Space Admin”. Underneath, select the “Hangouts Chat for Confluence” tab.

Here, you can again setup Hangouts Chat rooms and users to be notified of any updates that are checked under the “When to show notifications” section.

Page/blogpost configuration

To send notifications when individual pages or blogposts are changed, you can access the configuration by clicking on the three dots in the upper right-hand corner and select “Hangouts Chat Notifications”.

Here, you can again setup Hangouts Chat rooms and users to be notified of any updates that are checked under the “When to show notifications” section.

User configuration

You can also notify yourself if you’ve been mentioned on a page or a task for you has been added, updated or removed. To configure notifications, click on your avatar in the lower right-hand corner and select “Hangouts Chat Notifications”.

Here, you can again setup Hangouts Chat rooms or channels to be notified of any updates that are checked under the “When to show notifications” section.

Filtering notifications by labels

If you want to get notifications only for pages or blogposts with certain labels, you can use the “Restrict labels” section available on any of the configuration pages above.

Confluence Questions configuration

If you have the Questions for Confluence addon installed as well, you can also configure notifications when questions or answers have been updated.

You can get notifications only for certain question topics, similar to how you can restrict notifications for labels on pages or blogposts, by adding the topics in the “Restrict Topics” section.

Troubleshooting

Access restrictions (Cloud version only)

Make sure the Hangouts Chat for Confluence user has access to the pages that are updated. For example, if you want to send notifications for a Space that has restricted access, make sure to add the “Hangouts Chat for Confluence” user to the list of users that have “View” permissions:

Another issue can be the permissions set on an individual blogpost, page (or parent page), where you would need to grant the “Hangouts Chat for Confluence” user “View” permissions as well:

Access restrictions for questions (Cloud version only)

For question updates in restricted Spaces, you also need to give Hangouts Chat for Confluence individual access. In the Space permissions, click on the “Add-on” tab:

Make sure the “Atlassian Connect Plugin” is selected in the dropdown box. Then, add the “Hangouts Chat for Confluence” user and give it “View” permissions for Questions:
